Terms & Conditions
1. Booking & Payments
All bookings must be made through our official booking platform. A place on any
activity is only confirmed once full payment has been received.
Spaces are limited and allocated on a first-come, first-served basis. We reserve the
right to close bookings once capacity has been reached.
Where applicable, activities may require a minimum number of participants to proceed.
If this is not met, we reserve the right to cancel or reschedule the activity.
2. Cancellation & Refund Policy
If you need to cancel your booking, the following terms apply:
- 14–7 days before the activity: Full refund
- 7–3 days before the activity: 50% refund
- Within 48 hours of the activity: No refund
All cancellations must be made in writing. Refunds will be processed using the original
payment method. We do not offer credit notes.
If Four Seasons Outdoors cancels an activity, participants will receive a full
refund.
3. Weather & Environmental Conditions
Our activities take place outdoors and are designed to operate in a range of weather
conditions. Activities will go ahead unless conditions are deemed unsafe.
We reserve the right to amend, postpone, or cancel activities due to weather,
environmental risks, or other safety concerns. This may include changes to routes,
timings, or locations.
4. Participant Responsibilities
By booking onto an activity, participants agree to:
- Arrive on time at the designated meeting point
- Wear appropriate clothing and footwear suitable for the activity
- Bring all required equipment as outlined in the activity description
- Follow all instructions given by guides and facilitators
- Act responsibly and respectfully towards others and the environment
Failure to meet these responsibilities may result in removal from the activity without
refund.
5. Health, Fitness & Medical Information
Participants are responsible for ensuring they are physically able to take part in the
activity they have booked.
Any relevant medical conditions, injuries, or health concerns must be disclosed prior
to the activity. We reserve the right to refuse participation if we believe it may pose a
risk to the individual or others.
6. Risk Acknowledgement & Liability
Outdoor activities carry inherent risks, including uneven terrain, changing weather
conditions, and environmental hazards.
By participating, you acknowledge and accept these risks and agree to take
responsibility for your own safety while following guidance provided by our team.
Nothing in these Terms & Conditions limits liability for death or personal injury
caused by negligence. Otherwise, Four Seasons Outdoors shall not be liable for any loss,
damage, or injury sustained during participation, except where required by law.
7. Insurance
Four Seasons Outdoors holds appropriate public liability insurance.
Participants are responsible for arranging any additional personal insurance they feel
necessary, including cover for personal belongings or specific activities.
8. Safeguarding & Conduct
We are committed to providing a safe, inclusive, and respectful environment for all
participants. We operate a zero-tolerance approach to:
- Discrimination or harassment
- Unsafe or disruptive behaviour
- Failure to follow instructions
We reserve the right to remove any participant whose behaviour compromises the safety
or wellbeing of others. No refund will be issued in such cases.
9. Photography & Media
Photographs and videos may be taken during activities for promotional and marketing
purposes, including use on our website and social media platforms.
If you do not wish to be included in media content, please inform us prior to the
activity.
10. Travel & Meeting Arrangements
Where transport is provided, details of pickup locations and times will be clearly
communicated in advance.
Participants are responsible for arriving on time. We are unable to delay departures
for late arrivals, and no refunds will be issued in such circumstances. All participants
are expected to behave responsibly during transport.
11. Activity Changes
We reserve the right to make reasonable changes to any activity where necessary. This
may include adjustments to routes, locations, timings, or delivery format to ensure safety
and quality of experience.
12. Age Requirements & Family Participation
Age requirements vary depending on the activity and will be clearly stated in the
activity description.
We offer a range of activities suitable for different groups, including family-friendly
experiences. Some activities, such as our Nature Days, are specifically designed for
families and children.
For activities involving children, a responsible adult must supervise them at all times
unless otherwise stated.
13. Data Protection
We are committed to protecting your personal data. Any information collected during
booking will be used solely for the purpose of delivering our services and will be handled
in accordance with UK data protection legislation.

14. Force Majeure
We shall not be held liable for failure to deliver activities due to circumstances
beyond our control, including but not limited to extreme weather, natural disasters,
government restrictions, or emergencies.
15. Agreement to Terms
By making a booking with Four Seasons Outdoors, you confirm that you have read,
understood, and agreed to these Terms & Conditions.
